To provide administrative service to Nestlé in the Region and Regional Distributor Manager ensuring smooth operations in their respective Regions.
- Nestle in the Region (NiR) Support (Scope: Sales Division, OBUs & GMB based in the Regions)
- NiR Trainings / Meetings / Events
- Coordinate ad hoc regional trainings, NiR meetings, HOU events/trainings e.g. wellness programme and minute the NiR meetings
- Organise Annual Family Day and Annual Dinner with the support of a committee
- Book hotels for trainings/events/visitors on an ad hoc basis
- Staff Statistics
- Track & update total Nestlé staff in the Regions (incl. new hire, transfer & resignation) on a monthly basis and coordination of Festive Hampers
- SHE Documentation, Filing & Reporting
- Notification of accidents to SHE Manager, tracking and record keeping for BBS and monthly SHE statistics reporting, office safety inspections, car inspection checklist.
- Coordinate SHE meetings, trainings and prepare meeting minute.
- Document Compilation, Distribution and Submission
- Distribute MICARES medical cards to new staff and submit resignees’ cards to HR
- Compile and submit medical certificates (MCs), exit clearance forms/items and distribute annual EA Forms & monthly Payslips and coordination of Festival Advances.
- Compile and submit WHO Code training records for Nestle & LTP sales staff involved in the marketing of Infant formula and LTP claims for Infant Feeding Scheme and Retirees.
- Manage office administration involving P2P processes, utility bill management, printer and stationery stocking, IT ticket management, office cleaner maintenance, courier services, mails and managing calls on daily basis.
- RDM Support (Scope: Sales Division only)
- Coordinate Quarterly Combined Thruput Meetings and support organization and logistics of Annual Sales Rally..
- Compile LTP Sales Staff monthly attrition (GT LTP SRs) and monthly headcount reporting.
- Minimum certification, a SPM holder with credit in English and Maths. Diploma level education is preferred.
- Able to communicate in English and BM, Mandarin is optional.
- Experience and good proficiency in using Microsoft Excel.
- A team player and able to support sales force.
