DoubleTree by Hilton Kuala Lumpur Hotel is currently looking to recruit the following positions:
Respond to enquiries for functions (by telephone and walk-in guest).
Assess the physical requirements of the proposed function (no. of pax, time, and type of function) and reserve an appropriate venue for the client in the banquet reservation system.
Discuss with the clients further details pertaining to an event: menu, beverage, budget, and miscellaneous arrangements.
Prepare proposal letter based on the clients’ requirements, ensures 8 hours response time or not more than 24 hours based on the department SOP.
Follow up with clients on proposals and finalize all the arrangements.
Issue instructions for functions to all departments via the event order, with minimum 7 days prior to the actual event.
Supervise the work of Sales Co-ordinator (C&B) who prepares and distributes instructions and other correspondence.
Supervise the preparation of arrangements of the concerned function to ensure everything is in order, proactively guiding the client to ensure the event’s success.
Liaise with Banquet Service, Bar Manager, Kitchen, Stewarding, Engineering, Art Department (or other) prior to the function.
If on duty, greet the client during the course of the function, to ensure that everything goes smoothly and introduce the Banquet Operations Manager.
Prepare the Banquet Evaluation Letter after the function.
Maintain regular contacts with the banquet clients.
Control expenses relating to the function to ensure maximum net profit.
Prepare necessary Sales Reports (C&B) as assigned by the Director / Assistant Director of Sales (C&B).
Attend, whenever require, the banquet coordination meeting with all Banquet & Catering Sales Team Members, Executive Chef, Chief Steward, Beverage Manager, Banquet Operations Manager and F&B Service Manager to communicate the specific information of the requirements of all forthcoming functions and events.
Ensure credit policy is adheres to with all bookings and all monies are received in the correct time frame. Highlight every issues immediately to Director or Assistant Director of Sales, Conference and Banqueting or Credit Manager.
To monitor or trace on daily basis of all reservation made in the Banquet Reservation System, i.e. prospect, wait list, etc to maintain forecast accuracy.
Maintain accuracy of all reservations and other data in Banquet Reservation System.
Conduct, on a daily basis (in the absence of the Senior Sales Manager), the banquet coordination meeting with all conference and banqueting Sales Team Members, Executive Chef, Chief Steward, Beverage Manager, Banquet Operations Manager and F&B Service Manager to communicate the specific information of the requirements of all forthcoming functions and events.
Undertake “Special Projects” as assigned by the DOS or ADOS, C&B
Possess knowledge of meeting room capacities, banquet set up, audio visual and any other pertinent details as they relate to function room set up.
Knowledge of the hotel and competitors market.
Possess computer skills, including Microsoft Word, Excel, Fidelio, Ideas and Delphi.
Possess interpersonal and sales related skills.
To display a commercial awareness of the market place based on individual effort. An ability to continuously priorities one’s actions so as to deliver the best sales and profit outcomes for the business. Ability to achieve set goals and financial targets. A concern for working toward a common goal and committing to excel in attaining all key business objectives
Ability to prioritise and manage own personal time efficiently within tight schedules. Looks ahead and makes forecasts concerning market trends to set demanding but realistic targets.

Candidate must possess at least Bachelor’s Degree/Post Graduate Diploma/Professional Degree in Hospitality/Tourism/Hotel Management or equivalent.
At least 3 Year(s) of working experience in the related field is required for this position.
Preferably Manager specialized in Hotel Management/Tourism Services or equivalent.
